CARBON Showroom Management App
Privacy Policy
This document explains how CARBON collects, uses, and protects the data of showrooms and their users when using the CARBON app, which is dedicated to showrooms subscribed to the platform and enables a showroom to manage its operations, create price offers, and create and monitor auctions. This document does not cover the general public marketplace (end buyers or individual sellers), except to the extent their data appears within the price offers and auctions created by a showroom.
1. Definitions
- “The App” or “CARBON”: the CARBON app dedicated to subscribed showrooms for managing their business, including operating the showroom, creating price offers, and creating and monitoring auctions.
- “Showroom” or “Subscriber”: the licensed car-dealership business registered and subscribed to the app.
- “Showroom User”: any employee or person authorized by the showroom to use the showroom’s account on the app, such as an owner, sales manager, or data-entry employee.
- “Price Offer”: a pricing offer created by the showroom within the app for a vehicle listed for sale.
- “Auction”: the process created by the showroom within the app to list one or more vehicles for bidding and track its progress and results.
- “Personal Data”: any information relating to an identified or identifiable natural person, whether a showroom user or a third party whose data appears within the showroom’s operations, such as a bidder or customer.
2. Scope of This Policy
This policy applies to showrooms subscribed to the CARBON app and their authorized users (accounts affiliated with the showroom) while using the showroom management app across all its functions: account registration and login, managing showroom and inventory data, creating price offers, and creating, monitoring, and managing auctions.
By subscribing to the app and activating its account, the showroom acknowledges its agreement, on behalf of its authorized users, to the terms set out in this policy.
3. Data We Collect
3.1 Showroom (Business) Data
- Business name, commercial registration, the regulatory license to practice car-sales activity, and the showroom’s address and geographic location.
3.2 Showroom User Data
- Name, mobile number, email address, job role within the showroom (owner, manager, or employee), and access permissions granted within the app.
- One-Time Password (OTP) verification data used when logging in or approving sensitive actions, such as publishing an auction or approving a price offer.
3.3 Inventory and Vehicle Data
- Data on vehicles managed within the showroom, including chassis number, model, year, condition, photos, and each vehicle’s activity log within the system.
3.4 Price Offer Data
- Details of price offers created by the showroom, including the vehicle, price, terms, offer validity, edit and approval history, and recipient customer data if entered by the showroom (name and contact number).
3.5 Auction Data
- Data on auctions created by the showroom, including listed vehicles, opening price, auction duration, participation terms, bids and bidders linked to each auction, and the auction’s results and status (ongoing, ended, or cancelled).
4. Purposes for Which We Use the Data
- Enabling the showroom to create its account and its authorized users’ accounts, and verifying their identity via OTP.
- Enabling the showroom to manage its daily operations: inventory, price offers, and creating and monitoring auctions and their results.
- Calculating commissions and subscription fees owed by the showroom and issuing invoices.
- Preparing performance reports and analytics that help the showroom track its sales and activity on the app.
- Communicating with the showroom and its users regarding account status, auctions, or technical support tickets.
- Protecting the app from misuse or fraud, and monitoring unusual activity on auctions.
- Complying with applicable laws and regulations in the Kingdom of Saudi Arabia, including tax and commercial requirements.
5. Data Protection and Security
CARBON takes reasonable technical and organizational measures to protect showroom and user data from unauthorized access, alteration, disclosure, or destruction. These measures include encryption in transit, role- and permission-based access controls within each showroom’s account so that one showroom’s users cannot access another showroom’s data, and periodic system reviews.
6. Data Retention
CARBON retains showroom data and records of price offers and auctions for as long as necessary to achieve the purposes described in this policy, or for the period required by applicable Saudi laws (such as commercial and accounting record-keeping requirements), whichever is longer, even after a showroom’s subscription is cancelled if legally required.
7. Showroom and User Rights
These rights may be exercised by contacting the Data Protection Officer at the email address provided at the end of this document.
- The right to access the personal data held by CARBON relating to the showroom and its authorized users.
- The right to request correction of inaccurate data relating to the showroom or its sub-accounts.
- The right to request deletion of an authorized user’s data upon the end of their relationship with the showroom, subject to legal exceptions such as records required to be retained by law.
- The right to control the access permissions granted to showroom users within the app.
- The right to object to the use of contact data for CARBON’s direct marketing purposes.
8. Changes to This Policy
CARBON reserves the right to amend this policy at any time. Amendments become effective once subscribed showrooms are notified or the update is published on the app. It is recommended to review this page periodically for any updates.
